Finally, a Painting Company That Communicates

Strong communication is not an extra. It is part of the job.

Hiring painters means inviting a team into your home and trusting them with your property, your schedule, and an important investment. You should not have to repeatedly call for updates, wonder whether someone is showing up, or search for the right person when you have a question.

Headwaters Painting has built communication into every stage of the project. Our Office Manager, estimator, Project Manager, and Crew Lead each have a defined responsibility for keeping you informed.

This creates a smoother, more predictable experience for homeowners throughout Minneapolis, Saint Paul, and the Twin Cities.

  • You know who will contact you after your first inquiry.
  • Your estimator texts before arriving at your home.
  • Your Project Manager guides scheduling and preparation.
  • Your Crew Lead reviews onsite expectations with you.
  • You receive updates while painting is underway.
  • You complete a final walkthrough before the final invoice.

What Clear Communication Means

You should never have to chase your painting company for answers.

Clear communication means knowing when someone will contact you, who is responsible for the current stage of your project, when the crew plans to arrive, what work is being completed, and what must happen before the project is considered finished.

At Headwaters Painting, communication is not limited to a friendly first phone call. It continues through scheduling, color decisions, preparation, production, walkthroughs, touch-ups, invoicing, and questions after the crew has left.

Strong communication is not just part of our process. It is one of the promises we make to every homeowner.

The Headwaters Communication Playbook

Here is exactly what happens from your first call through project completion.

Every stage has a purpose, a responsible team member, and a clear communication expectation.

01

You Reach Out to Headwaters Painting

When you first contact us by phone, email, our website, or social media, you will hear from our Office Manager within one business day.

They will give you a call to chat about your project, learn what you are hoping to accomplish, and answer any initial questions.

There are no robot voicemails or AI bots helping you schedule your estimate. You will speak with a real person who genuinely cares about your project and can help you understand the next step.

02

Your Onsite Estimate Is Scheduled

Once you are on our calendar for an onsite estimate, your estimator will send you a text before arriving at your home.

They will keep you updated leading up to the appointment, and you can reach out to them directly if you are running a few minutes late or something comes up at the last minute.

You will not be left waiting without an update or wondering whether your contractor plans to show up.

03

You Review Your Painting Proposal

After your estimate, you can continue reaching out to your estimator whenever you have questions or changes you would like to make to the proposal.

The estimator is there to help you understand the scope, discuss options, and make the best, most informed decision when choosing who to trust with your home.

We want you to feel confident in your decision. You should understand what is included before signing—not feel pressured to accept a proposal you have questions about.

04

Your Project Manager Gives You a Welcome Call

Once your estimate is accepted, you will hear from your designated Project Manager.

Within a few days of accepting your proposal, the Project Manager will give you a welcome call to discuss your colors, scheduling, and any questions you have about the upcoming project.

This call creates a clear transition from the estimating stage into project planning. You will know who is guiding the work before the crew arrives.

05

Your Tentative Start Week Is Communicated

When it comes to scheduling your painting project, your Project Manager will provide you with a tentative start week.

Minnesota weather can be unpredictable, especially during exterior painting season. Rain, humidity, temperature, wind, and surface moisture can occasionally make delays unavoidable.

You do not need to worry about being forgotten. Your Project Manager will keep you informed and work with you every step of the way as the schedule develops.

06

You Complete a Pre-Project Walkthrough

Before your project begins, you, your Project Manager, and your Crew Lead will complete an onsite walkthrough together.

This is your opportunity to point out areas of concern, ask questions, confirm colors, or clarify details before painting begins.

Every surface is accounted for, and every expectation is communicated before the crew starts working.

07

You Receive Updates While the Project Is Underway

Once your project is underway, you will receive daily updates about what the crew is working on and how the project is progressing.

You will also know what time the team expects to wrap up for the day and when they plan to return.

If you have questions or concerns during the project, your Project Manager is always just a call or text away. You will not have painters showing up unexpectedly or leaving you wondering what is happening.

Everything is communicated, and important details are less likely to be overlooked.

08

You Review the Finished Work Before the Final Invoice

At the end of your project, you will complete a final walkthrough with your Crew Lead.

Together, you will review all of the completed work and have the opportunity to point out any remaining questions or touch-ups before the crew leaves.

Once the walkthrough is complete, your Project Manager will send over the final invoice.

Even after the project is finished, our office remains available if you have questions or need anything else.

Real People From the Beginning

Your first interaction should feel personal, not automated.

Homeowners often reach out to a contractor because they need guidance. They may not know how much preparation is required, which rooms should be completed first, whether an exterior is ready for repainting, or how soon a project can begin.

That is why Headwaters begins with a real conversation. Our Office Manager can listen, ask practical questions, and make sure your project reaches the right member of the team.

Technology may help support our process, but it does not replace the people responsible for listening to you and caring for your home.

No robot voicemails. No AI bot scheduling your estimate. Just real people who genuinely care about your project.

Who Will Communicate With You?

Role 02

Role 03

Project Manager

Communication During the Work

You will not be left wondering what the crew is doing.

Painting can temporarily change how you use your home. Furniture may be moved, rooms may be unavailable, exterior areas may be covered, and schedules may need to work around drying time or weather.

Daily communication helps you plan around the project and understand the progress being made.

Your updates may include:

  • What the crew is working on that day
  • How the painting project is progressing
  • Which rooms, surfaces, or exterior areas are being completed
  • What time the team expects to wrap up
  • When the crew expects to return the following day
  • Whether weather or drying time affects timing
  • Questions or decisions that require your input

Exterior Painting in Minnesota

When Minnesota weather changes, we keep you informed.

Exterior painting schedules depend on more than the date selected on a calendar. Rain, humidity, temperature, wind, and moisture on the surface can affect preparation, drying, adhesion, and the long-term performance of the coating.

Your Project Manager will provide a tentative start week and continue communicating as your project approaches.

If conditions create a delay, we will explain what is happening and work with you as soon as the surfaces and weather are suitable again.

A responsible weather delay is better than rushing paint onto a surface under conditions that may compromise the finished result.

Two Important Walkthroughs

Expectations are confirmed before work begins and reviewed again before it ends.

Before Painting

The Pre-Project Walkthrough

You, your Project Manager, and your Crew Lead review the project together before painting begins.

This is the time to identify concerns, verify colors, discuss access, confirm which surfaces are included, and make sure everyone understands the agreed scope.

  • Review the rooms or exterior surfaces
  • Confirm important colors and finishes
  • Point out areas of concern
  • Discuss access and property protection
  • Clarify anything before painting begins
After Painting

The Final Walkthrough

At the end of the project, you review the completed work with your Crew Lead before the crew leaves.

You have an opportunity to ask questions and identify remaining touch-ups. After the walkthrough is complete, the Project Manager sends the final invoice.

  • Review the completed painted surfaces
  • Ask questions about the finished work
  • Identify any remaining touch-ups
  • Confirm agreed areas were completed
  • Receive the final invoice after review

After the Crew Leaves

Our communication does not disappear when the project ends.

Even after your painting project is finished, the Headwaters office remains available if you have questions or need anything else.

We want the entire experience to feel seamless—from the first conversation through the days and weeks after your home has been painted.

You should never be left with lingering questions, unanswered texts, or ignored calls simply because the crew has packed up its brushes.

Our team will be with you every step of the way. Strong communication is one of the promises we make to every homeowner.
